Job Description

LUSU Societies Admin Assistant

Rate:                     £7.50 per hour plus holiday pay (£8.41 per hour paid)

Duration:             From 18th September 2017

Hours:                  8 hours per week, with additional hours as and when required

Interviews:           30th August 2017 only

Are you someone who has joined different societies and enjoyed building new friendships during your time at Uni?

We’re looking to build a strong staff support network for our 200+ societies. You’ll be part of a team who provide an efficient and effective level of administrative support for all students within Student Activities.

You’ll be an effective networker, and understand the value that societies can bring to the experience of students.
 

Major Duties

  1. To deal with enquiries from all students, particularly those involved in societies and provide a comprehensive information service.

  2. To assist with general administrative tasks as directed.

  3. To collect new contact details and other information from societies and update our records.

  4. To contact societies as directed for all aspects of the collection and dissemination of general information.

  5. To process event and room booking queries, and offer support where needed.

  6. To collate and prepare documentation for meetings including funding applications.

  7. To carry out any other duties as directed by the Societies Coordinator and Societies and Community Manager.

Person Specification

  1. Excellent communication skills: good use of grammar and spelling and accurate conveyance of information; able to gather information and give effective answers to queries, able to assess the nature of a query and respond appropriately.

  2. Excellent attention to detail.

  3. Knowledge and involvement in societies (desirable)

  4. Knowledge and involvement in student activities (desirable)

  5. Knowledge and use of Microsoft Office packages, including Word, Excel, Access and Outlook

  6. Good organisation skills

  7. The ability to learn quickly

  8. Ability to communicate with a diverse range of customers

  9. Self-motivated and able to work unsupervised

  10. Team player with an ability to adapt to change

  11. Flexible and adaptable

  12. Reliable and responsible approach to the working environment

  13. Appreciation of confidentiality and a high level integrity
