Role & Department Overview

The Employment and Recruitment Service (ERS) recruits for a range of part-time and temporary positions at Lancaster University and within the local community.

Our aim is to help Lancaster University students develop their employment skills through a variety of work opportunities.

We are looking for an enthusiastic, organised and proactive person to join the ERS team as an Admin Support Assistant.

This is a varied role where you will provide administrative support to our busy recruitment service, while also helping students and managers with their queries. You will be part of a friendly team and will have the opportunity to gain valuable experience in a busy professional environment.

No two days will necessarily be the same. You could be responding to queries, updating recruitment systems, supporting our ERS Drop-Ins and Pop-Ups, or helping new starters complete their Right to Work checks.

We are looking for someone who likes getting things done, is confident working with people and can use their own initiative. You don’t need years of experience – we’re looking for someone with some previous experience of administration or customer service who is keen to learn, get involved and make a difference.

You will need to be organised and accurate, but just as importantly, you will need energy, enthusiasm and a positive attitude.

Training will be provided to support you in learning the skills required for the role. The professional skills you develop working with the team will be highly transferable to future graduate employment.

Job Description

As an Admin Support Assistant, your responsibilities will include:
 
Responding to queries from students and managers in a friendly and professional manner.

Supporting the ERS team with recruitment administration and maintaining recruitment systems.

Representing the team at ERS Drop-Ins and Pop-Ups, providing an excellent front-line service to students.

Keeping records accurate and up to date on our systems.

Conducting Right to Work appointments for new starters to the Employment & Recruitment Service, both in person on the
 
Lancaster University campus and digitally via Teams.

Ensuring effective, efficient and compliant checking of documentation for Right to Work purposes.

Providing a short induction for new starters at the time of their appointment.

Undertaking post-appointment administration.

Supporting colleagues with other tasks as required to help the service run smoothly.

Person Specification

We are looking for someone who can demonstrate:

  • Previous experience in an administrative, customer service or similar environment.
  • A proactive and positive approach, with the confidence to use your own initiative.
  • Good organisation skills and the ability to manage competing priorities.
  • Excellent communication skills and the ability to communicate effectively with a wide range of people.
  • A confident and approachable manner.
  • A high level of accuracy when completing administrative tasks.
  • Competent IT skills, including Microsoft Word, Excel and Outlook.
  • Reliability and the ability to meet deadlines.
