Role & Department Overview

We are seeking a highly organised, efficient, and welcoming part-time Office Assistant to support the daily operations of our busy gymnastics club.

As the first point of contact for parents, coaches, and visitors, you will play a vital role in keeping our club running smoothly. If you thrive in a bustling environment, love staying organised, and have a passion for community engagement, we would love to hear from you.

Working hours:
 

Wednesday 9am - 1pm (4 hours)

 Saturdays 8.30am - 1pm  (4.5 hours) 

Hours are on a casual basis and may include cover on other days where available.

Job Description

  • Administrative Support: Manage day-to-day office tasks including answering phone calls, responding to emails, processing enrollments, and maintaining accurate member records.

  • Digital & Social Media: Support the club's social media co-ordinator with social media channels (e.g., Instagram, Facebook) to promote classes, celebrate member achievements, and share important club announcements.

  • Customer Service: Act as the welcoming face and voice of the club, handling inquiries from current and prospective families with clarity and professionalism.

  • Schedule & Communication Coordination: Assist in distributing club communications, tracking attendance logs, and ensuring staff and parents are kept up to date on schedules and events

Person Specification

Experience & Skills Desired

  • Administrative Experience: Experience of working in a busy office, reception, or customer service environment.

  • Strong Computer Literacy: Proficient in Microsoft Office (Word, Excel) and Google Workspace. Experience with or an ability to quickly learn club management/booking software is highly desirable.

  • Social Media Savvy: Confident in creating engaging content, scheduling posts, and navigating major social media platforms to maintain a vibrant online presence.

  • Excellent Written Communication: Ability to draft clear, professional, and accurate emails and notices for parents and external stakeholders.

Essential Qualities

  • Outstanding Organisational Skills: A natural multi-tasker who can stay calm, focused, and structured in a high-energy, fast-paced environment.

  • Warm and Professional Demeanor: Approachable, patient, and excellent with people—especially parents and young gymnasts.

  • High Attention to Detail: Meticulous with data entry, professional paper trails, and maintaining confidential information.

  • Proactive & Reliable: A self-starter who can work independently during quieter periods and collaborate seamlessly with the management team.
