Role & Department Overview

The Faculty of Science and Technology (FST) – a large community of seven academic departments – is seeking to appoint a full-time Student Programmes Coordinator on a temporary contract (3 months). This role is ideally suited for someone who is adaptable and enjoys a varied workload. Attention to detail will be key, as will the ability to develop positive, productive, and supportive working relationships.

This role offers an excellent opportunity to gain broad experience across Student Office functions within the faculty. It involves working with multiple academic department teams, providing cover to support both the administration and delivery of student programmes and enhancing the student experience.

Job Description

Main Responsibilities Include:

Student Office Administration:

  • Work across departments to provide support where needed in areas relating to student support and administration, and promoting consistency across the faculty.
  • Work with departmental Professional Services colleagues and relevant academic colleagues as required to administer:   
  • Registration of new and continuing students
  • Student assessment, including processing of coursework; preparation and delivery of exams and tests; recording of assessment outcomes; recording of mitigating circumstances
  • Coordination of timetabling including handling queries and issues
  • Maintenance of student, scheme and module records
  • Monitoring of attendance reports, alerting and escalating issues as appropriate.
  • Create and maintain student records in line with university policy and General Data Protection Regulations (GDPR).
  • Support the administrative processes associated with examinations and awarding of degrees including preparation of documents as appropriate.
  • Participate in and service meetings as required. 

Quality Assurance and Continuous Improvement

  • Support academic departments across the faculty with quality assurance procedures where required. This could be in form of:
  • Ensuring all schemes, modules and student records conform to university procedures and regulations in line with external regulations data management 
  • Supporting the relevant committees and meetings in the department and feeding into Faculty and University level equivalents, supporting academic staff and ensuring follow up on actions
  • Managing and coordinating the compilation of data and information for reviews, reports, Annual Teaching Reviews and ‘Freedom of Information’ requests in line with General Data Protection Regulation (GDPR), including external quality assurance audits and professional accreditation bodies
  • Proactively participate in projects and initiatives for continuous improvement, including attending forums and networks and sharing of good practice across the faculty
  • Work in conjunction with colleagues on process enhancement including the move towards digitisation where appropriate

Student Well-being, Engagement and Retention

  • Work collaboratively with academic and professional services colleagues, Student Based Services (SBS) and colleges to provide an inclusive support service to all students, signposting where appropriate.
  • Support academic staff with initiatives to improve student retention across the faculty.

Person Specification

The successful candidate will:

  • Have experience of providing a high level of customer service
  • Have excellent communication skills in face-to-face, electronic, telephone and written communications, including the ability to communicate information in a clear and appropriate manner
  • Have the ability to prioritise workload to meet competing deadlines, and the ability to work effectively within a team
  • Be able to present information accurately and communicate effectually with a wide range of people
  • Be able to demonstrate competent IT skills and the ability to work with new systems and software in an evolving digital environment
