As a Projects Assistant, you will play a vital role in supporting our team in project planning, coordination, and administration, contributing to the success of our initiatives.

The Opportunity: 

As a Projects Assistant in the IT Partnering and Innovation department, you will have the opportunity to work on a variety of exciting projects that contribute to the transformation of our services and the enhancement of the student and staff experience. You will collaborate closely with project managers, stakeholders, and team members, gaining valuable insights into project management processes and acquiring skills that will lay a solid foundation for your future career.

Expected end date: 12 weeks after start date
 
Weekly hours: 8-12 hours
 
Location: On the Lancaster University campus

Job Description

Your main responsibilities will include:

 
  • Assisting in the coordination and administration of projects, ensuring project plans, timelines, and documentation are accurately maintained.
  • Supporting project managers in tracking project progress, identifying risks and issues, and proactively communicating updates to stakeholders.
  • Collaborating with team members to gather and compile project data, creating reports and presentations to facilitate project reviews and decision-making processes.
  • Participating in project meetings, documenting minutes, and following up on action items to ensure timely completion.
  • Assisting in the organization and execution of project-related activities, such as workshops, training sessions, and events.
  • Maintaining project documentation and knowledge repositories, ensuring information is up to date, accessible, and organised.
  • Providing general administrative support to the team, including scheduling meetings, managing calendars, and handling correspondence.

Person Specification

Essential (Please reference in your application):

  • Strong organizational skills, with the ability to prioritize tasks, manage deadlines, and handle multiple projects simultaneously.
  •  Excellent attention to detail, ensuring accuracy and completeness in project documentation and reporting.
  •  Effective communication skills, both written and verbal, with the ability to engage and collaborate with stakeholders at various levels.
  •  Proficiency in using office productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  •  Demonstrated ability to work collaboratively in a team environment, supporting others and fostering a positive working atmosphere. 

Desirable (Please reference in your application):

  •  Familiarity with project management methodologies and tools.
  •  Experience in coordinating and supporting projects within a professional setting.
  •  Knowledge of information systems and technology-related projects.
