Role & Department Overview

 
SU Living provide student accommodation to students at Lancaster University.  On a day to day basis the role will require you to respond to enquiries made by telephone, email and in person.  You will be arranging viewings and on occasion be carrying out viewings and inspections at our rental properties.  You will be required to carry out general administrative duties. You will make arrangements with contractors and landlords, to carry out repairs at our properties.  You will liaise with landlords and contractor to obtain quotes and gain approval from landlords to carry out repairs.

End Date: 17th May 2025

Weekly Hours: 36.5 hours per week

Job Description

 Main Responsibilities:
 
  • To be the first point of contact for current and prospective tenants and property owners, by whatever communication routes are available.

  • To support engagements with external contractors to ensure works are completed according to agreed schedules.

  • To act as department reception, dealing with all enquiries- escalating or referring as necessary.

  • Update content on the SU Living website and other communication channels, as directed by the SU Housing Manager.

  • To support the SU Housing Manager with the marketing and promotional activity/ events of SU Living.

  • To support cross-organisation events and programmes relating to our tenants, such as housing and welcome fairs, Green Lancaster and elections.

  • To work with colleagues to maintain and administer the repairs and maintenance system.

  • To support colleagues in delivering the necessary and agreed utilities provision (e.g. Gas/electricity, water, broadband etc.) of Headlease properties. This will include; a. Filing relevant reports and information to support the smooth and seamless contract management with suppliers (engagement, payment, repairs etc.) b. Processing queries and complaints from tenants, and escalating to the team, ensuring our high commitment to service standards are maintained.

  • To assist with the collection of rents from tenants.

  • To carry out general office administration and support other members of the team.
  • To undertake any other duties commensurate with the position and the goals of the Students’ Union, and follow Union policy to support the achievement of its wider mission and goals.

Person Specification

 The successful candidate should be able to demonstrate the following:
 
Experience:
  • Experience of delivering excellent front line customer service, dealing with a range of queries /concerns.
  • Experience of prioritising workload to meet competing deadlines with light supervision.
 
Skills:
  • The ability to assimilate, analyse and present data in an accurate and appropriate format.
  • Strong IT skills with experience of electronic management systems and databases and all Microsoft applications.
  • Ability to work in a team and have a flexible approach to work.
  • Effective numeracy and literacy skills with minimum of GCSE levels Grade C (or equivalent) in both English and Maths.
  • The ability to communicate effectively across various platforms including social media.
