The role will support the professional management and compliance of programmes in the Management School's Professional Management Executive Learning (PEML) team providing a high level of administrative support to the programme team and students with a particular focus on the input and maintenance of data and information relating to Senior Leader Apprenticeship Programmes.  
 
Preferred start date: 20th of January 2025
 
Expected end date: 11th of April 2025
 
Interview date: Friday 10th January 2025
 
Location: On the Lancaster University campus
 
Weekly hours: 22 hours per week (during working hours from Monday to Friday, between 9am and 5pm) 

Job Description

Major Duties:
 
Apprenticeship Data Management
 
  • To input accurate and compliant data relating to the Individualised Learner Record (ILR) to enable the University to make a monthly return to the ESFA. 
  • To cleanse and refresh Apprentices’ data where appropriate to ensure information is up to date across systems. 
  • To support the completion of the End Point Assessment (EPA) working with external providers to include the booking of EPAs and the collation and checking of Assessment materials.
Quality Assurance and Compliance
 
  • To ensure compliance with university regulations and procedures.
  • To have an awareness of the Ofsted and ESFA requirements in relation to the operation of the Apprenticeship programme and support the programme team in the maintenance of this.
  • Work with ASQ to maintain up to date knowledge of compliance requirements from both ESFA and Ofsted in relation to Level 7 Apprenticeships and to provide accurate evidence and documentation promptly upon request
  • To assist the Programme team including Programme Director and the ASQ team in ensuring all programme documentation and evidence collected is compliant with ESFA guidance. 
Programme Administration
 
  • Working with the Programmes Officer, Programme Director and wider team to deliver a high level of customer service to students and internal stakeholders involved in the programme.
  • Maintain and update the student database (LUSI) and Apprenticeship records.
  • Working with the Programme Director and team to maintain up to date personal details, monitor student engagement and ensure this is reflected in both LUSI and ILR records. 
  • Keep records for regulatory purposes and for management information and prepare reports in relation to the programme.
  • Ensure that all data and information is stored in a secure environment for the correct time-period in line with university, GDPR and external regulations.  
Other Duties
 
  • To carry out any other duties appropriate to the grade as required by the Postgraduate Manager.

The successful candidate should be able to demonstrate the following:
 
Essential
 
  • Ability to convey an appropriate rationale and interest in applying for this particular post.
  • Proven track record working in a busy office environment 
  • High level of general office skills including IT competency across a range of applications.
  • Ability to communicate information in a clear and appropriate manner
  • Excellent organisational and administrative skills with a systematic approach and high concern for quality and service excellence 
  • Reliable and able to meet strict deadlines
  • Legal right to work in the UK.
Desirable
 
  • Experience of working in a higher education environment, with familiarity of IT systems and processes
