Our degree ceremonies are high-profile occasions and as representatives of the University, the Corporate and Ceremonial Events Team play a key role in the successful planning and delivery of these events.

This winter’s graduation ceremonies will take place from Wednesday 11th – Thursday 12th December and will celebrate the achievements of our taught postgraduate and PhD students.

Over 1000 graduating students and their guests will attend across two days of graduation, and your role will ensure that they have the best possible experience.  You will be involved in the organisation and delivery of the event itself, and any post event administration.

Job Description

Main Responsibilities:

The purpose of this role is to provide event support to enable the smooth delivery of winter graduation ceremonies.

The majority of your role will be to support the team in the organisation, delivery and logistics of graduation at this busy time of year. The role will involve, undertaking tasks such as the preparation of key documents, liaising with internal and external suppliers and supporting the graduation team with a wide remit of tasks.

During graduation itself, your role will be student facing, as the first point of contact for graduands. You will use your calm manner, communication and organisational skills to answer the queries and/ or escalate as required.

Person Specification

Essential:

  • Must be available for the full 12 weeks for the range of hours specified above.
  • Good administrative skills including Outlook and all Microsoft software including Word, PowerPoint and Excel.
  • Polite and confident telephone manner and the ability to write and communicate clearly via email.
  • Flexible and adaptable.
  • Ability to work as part of a team, and independently.
  • Ability to work accurately and with an eye for detail.
  • Personal integrity and respect of confidentiality.

Desirable:

  • Experience in an events environment.
  • Good working knowledge of Lancaster University campus facilities and structure.
  • Advanced Excel Skills.
