Role & Department Overview

Graduate College is now looking to appoint College Community Assistants for the 24/25 academic year.

Applications are welcomed from current postgraduates and final year undergraduates who are intending to commence full time Postgraduate study in October 2024.

Candidates must be a full time Postgraduate student for the full year they are in post and should not be away from the University on substantial placement during the year. Unfortunately, we are unable to accept applications from students who are on 4-year integrated masters and have an Undergraduate status.

Requirements and Rewards:

Hours of work: 11.5 hours per week on an 11-month fixed term contract, which includes Christmas & Easter vacation periods (Sept 2024 – Aug 2025)

(NB: for Tier 4 international students these 11.5 hours contributes to the 20 hours of work permitted whilst in the UK)

College Community Assistants are required to reside on campus in the Graduate College accommodation.

Rate of pay: Grade 3 (£21,788 -£22,214) pro rata*, plus annual leave

(*This is a part-time role; pro rata means you get a proportion of the full-time wage advertised)

Job Description

To work with the College Team to provide an inclusive College community:

  • Actively engaging with residents prior to arrival (e.g. Teams / Skype / Conference calls and Google hang outs) and throughout their stay (e.g. operating social media, delivering activity projects such as wellbeing events).
  • Delivering/coordinating/assisting with a range of successful College activities throughout the year e.g. Arrivals and Welcome Week, PGR Conference, New Café, family flat events, day trips, departures/key return. 
  • Interaction with children and vulnerable adults when delivering/coordinating/assisting with College activities
  • Identify new projects, events and social interaction opportunities.
  • Get to know College community including family flats e.g., visiting accommodation areas and social hubs in order to engage with students, through this knowledge, recognising and reporting emerging issues and needs within the College. 
  • Dealing with disciplinary issues; taking steps to resolve / de-escalate conflict between student residents e.g. holding kitchen meetings, mediating disagreements, complete reports relating to any such activity.
  • Proactively ensuring that College members abide by the Student Discipline Regulations, the College Rules and the Terms and Conditions of Residence.
  • Be present at designated hours/times as agreed with line manager and attend all College meetings and training as required.
  • Ensuring the safety and wellbeing of students, residents, children in residence, staff and visitors to the College at all times 
  • Accurate and timely recording of incidents involving student behaviour and/or welfare.
  • Daily liaison with College staff and other CCAs to maintain good communications and support team working
  • Abiding by the terms and conditions of accommodation as well as the College Rules and Student Discipline Regulations at all times; as students with an extended set of responsibilities, a higher level of discipline and behaviour is expected of College Community Assistants.
  • Respecting confidentiality and working within Data Protection legislation
  • Recognising and acknowledging the limits of personal pastoral abilities and therefore acting as a listener and mediator rather than as an advisor.
  • Providing basic advice, support and information to residents; signposting as appropriate to further support networks.
  • Any other duties as deemed necessary by the College Dean, Vice-Principal for the Student Experience, Accommodation Manager or College Manager. 

Person Specification

  • To convey an appropriate rationale and clear interest in applying for this particular post.
  • Excellent customer care/people skills; able to deal with difficult situations.
  • Ability and confidence to work with minimal supervision using own initiative. 
  • Energy and enthusiasm for working with a highly diverse postgraduate student community
  • Excellent written and oral communication skills including ability to make use of various media platforms 
  • Ability to work in a team, have a flexible approach to work and dedication to duties. 
  • Enrolled / applying for full time postgraduate study at Lancaster University.
  • Willingness to live within Graduate College accommodation 
  • Awareness of and an ability to deal sensitively with cross cultural issues in a student environment.
  • Ability to deal with all students, staff and visitors courteously and professionally.
  • All financial accounts with the University up to date.
  • Ability to remain on campus during term time throughout contract - i.e. not required to attend extended placements off site as part of studies.
  • Ability to attend compulsory training course in September 2024 (dates tbc)
